Terms
The agreement for using Archivist: your account, campaigns, Archivist Inquiry, credit, and your 14 days to withdraw from a purchase.
Last updated 16 October 2026
About these terms
These terms are the agreement between you and Archivist ("we", "us") for using the website archivist.gg and the Archivist app at app.archivist.gg, including Archivist Inquiry and credit.
By creating an account, or by continuing with Discord or Google, you agree to these terms. How we handle your information is in the privacy notice.
Questions about these terms, and anything else you need from us: [email protected].
Your account
- You need an account to use the app, and you must be at least 16 years old.
- Use an email address that is yours and keep it up to date: we use it to confirm your account, reset your password, and send purchase and withdrawal emails.
- Your account is for you alone. Keep your password safe, and tell us if you think someone else has used it. You are responsible for what happens under your account.
- Choose a username that doesn't pretend to be someone else and doesn't offend. We may ask you to change one that does.
Your content
- Your characters, compendiums, pictures and notes stay yours.
- You allow us to store them, keep them up to date on your devices, show them to the people you share them with, and send them to our AI providers when you ask Inquiry to work with them. We do this only to run Archivist for you.
- What you add or import must be yours to use. Only add content you have the right to use, and share it only as far as you are allowed to. You are responsible for it, and we may remove content that breaks someone's rights or these terms.
- You can export a character as an Archivist file, and a compendium as a zip file, at any time. Keep your own copies of what matters to you.
- We set limits on how much you can store and how often you can do some things, so Archivist keeps working well for everyone.
Campaigns
- A DM can create a campaign and invite players with a link. The DM approves who joins, and can remove or block a player.
- While your character is in a campaign, the DM sees your whole sheet and can change your hit points and conditions during play. Everything else on your sheet only you can change.
- What players see of each other, and what the DM sees, is set out in the privacy notice. Treat the people at your table with respect.
Archivist Inquiry
Archivist Inquiry answers questions about the rules and your characters, gives advice, tells your table what happened in the campaign, brings characters and homebrew into Archivist from a PDF, a web page or text, and can change your character sheet once you approve.
- Answers can be wrong. Inquiry is an AI helper and can make mistakes. Check what matters before you rely on it. When a ruling matters at the table, your DM decides.
- Nothing is saved without you. Every import is checked against Archivist's rules and shown for your review before it is added. A change to your sheet needs your Approve, and you can undo it.
- Archivist and D&D only. Inquiry helps with Archivist and your D&D games, and turns down other requests.
- Only what you can see. Inquiry reaches only what you can reach in the app.
- Web pages. Given a web address, Inquiry reads up to 50 pages of that site, and skips the pages a site asks automated readers to leave alone. Only give it content you have the right to use.
- Keeping it working. We may limit or pause Inquiry for an account, for example after many failed tries in a day or unusual activity.
Credit
Buying credit
- Credit pays for Inquiry. Your balance is shown in dollars, in the profile menu and under Credits on the Account page.
- Packs: $5, $10, $20 (with 10% extra credit, so $22 of credit) and $50 (with 20% extra credit, so $60 of credit). Prices are in US dollars. VAT or sales tax is added at checkout where it applies. The packs and prices on the Credits page when you buy are the ones that apply.
- Credit packs are sold through Polar (polar.sh), our reseller. Polar takes the payment on its own checkout page, adds and pays the tax, and sends your receipt; its buyer terms also apply to the payment.
- Before paying, you tick this line, which asks for your credit to be ready to use at once:
I want to use my credit right away. If I withdraw within 14 days, I get back the money for the credit I haven't used.
We then email you a confirmation that repeats that line and tells you until when you can withdraw.
Using credit
- Each question, import or recap uses credit for the work it takes. We show no estimate beforehand; what each use cost is listed afterwards under Recent use, in Account, Credits.
- You pay only for answers you get. If Inquiry can't answer because of a problem on our side or our AI provider's, that try costs nothing.
- An import stops and asks you when it reaches your spending limit per import (in Settings). If your credit runs out during an import, it pauses, keeps its progress, and goes on when you add credit.
- Credit is used in this order: welcome credit first, then your oldest purchase first.
- Credit you buy never runs out.
- Credit is not money. It can't be exchanged for cash, moved to another account or used to buy anything else. You get money back only by withdrawing from a purchase (below) or where these terms or the law say we refund.
- If a payment is disputed with your bank or card issuer, your credit is on hold until the dispute is settled.
- What a use costs may change. Credit you already have keeps its dollar value.
Welcome credit
- The first 100 accounts to confirm their email address get $5 of free welcome credit, one per email address.
- Its 30 days start the first time you open Inquiry and press Start. It is used before credit you buy, and whatever is left ends after those 30 days.
- Welcome credit can't be refunded, moved or exchanged. We may cancel a welcome credit obtained by misuse.
Your right to withdraw
You can withdraw from a credit purchase within 14 days of the day you bought it, without giving a reason. Unused paid credit can be refunded within those 14 days.
What you get back
Because you asked for your credit to be ready at once, you pay for the credit you used before withdrawing. We refund the money for the credit from that purchase that you haven't used: what you paid times the share of that purchase's credit still unused, rounded down to the cent. For example, a $20 pack gives $22 of credit; if $11 of it is left, you get back $10.00. If none of it is left, there is nothing to refund.
How to withdraw
- Press Withdraw next to the purchase in Account, Credits, and confirm; or
- tell us by email at [email protected] that you withdraw. You can use the withdrawal form below, but you don't have to.
It is enough to send your withdrawal before the 14 days end. We email you that we have it, with the date and time we received it. We refund within 14 days of receiving it, usually within minutes, to the payment method you paid with, at no cost to you. While we handle it, your credit is on hold, and work already running finishes and is counted. Welcome credit is not refunded.
Withdrawal form
Pressing Withdraw in Account, Credits does the same as this form.

As is, and our responsibility
- Archivist is provided "as is" and "as available". As far as the law allows, we give no promise or warranty of any kind, including that Archivist will always be available, error-free, secure, or fit for a particular purpose, or that its numbers, rules text or Inquiry's answers are correct or complete.
- Use your own judgment. Archivist is a game tool. You are responsible for how you use it and for the decisions you make from its results. Keep your own copies of what matters to you.
- Limits. As far as the law allows, we are not responsible for indirect or knock-on loss, lost data, lost profit or lost play time, or for anything outside our reasonable control, including problems at our providers or with your device or connection. Our total responsibility for any claim about Archivist is limited to what you paid us in the 12 months before the claim.
- What stays. Nothing in these terms limits what the law does not allow to be limited, such as responsibility for fraud, for death or personal injury, or for harm we cause on purpose, or the rights you have as a consumer under the law where you live.
Changes, ending and disputes
- We keep improving Archivist and may change, add or remove features. If we stop offering Inquiry, we tell you at least 30 days before and refund the money for credit you bought and haven't used.
- We may change these terms. Before an important change applies, we tell you by email or in the app, at least 30 days ahead. If you don't agree, you can stop using Archivist.
- You can stop using Archivist at any time. To delete your account, write to [email protected]; the privacy notice says what is removed and what we keep.
- If something goes wrong, please write to [email protected] first and we will try to put it right. If you live in the EU, you keep the protection of the consumer law of the country where you live, and you can go to the courts there.
